Purpose

The purpose of this document is to provide you with the understanding of the core DRS concept of Agencies. What they are for, how they work and how to manage them.



Agencies

An Agency is your Organisation.  Please note the following important details regarding Agencies: 

  • One DRS system can have single or multiple Agencies.
  • Customers can ONLY be in ONE Agency 
  • Workers can ONLY be in ONE Agency 
  • A Job and Order can ONLY be in ONE Agency.
  • The Worker and Customer linked to the Job and Order MUST be within the same Agency.
  • Sectors are linked to an Agency 
  • Sectors are linked to Workers
  • Sectors Control where a Worker is assigned work 
  • Sectors are defined by post-code 
  • Changing Sector to Agency relationships require careful management of linked Workers
  • Sectors can belong to multiple agencies 
  • An Agency can have multiple Contracts.


Agency Detail

Clicking on the Agencies menu item within the Configuration zone will list all the agencies configured in the system. 

Via this window, you can Edit, Add, Delete or Copy an Agency.

To edit an Agency, select the Agency via the checkbox and click the Edit button. Once Edits have been made click the Save button to save or the Cancel button to cancel changes.


Updating an Agency

Within the Agency Edit screen, the following can be updated

Field

Description

Name

This is the friendly name used to display when the Agency field is added to views and Objects

Description

This is optional, but can give more detail to the agency

Day Off Calendar

Here you can select the standard day off calendar which corresponds to the Agency. This will be applied to all Worker objects created by default

Working Hours Calendar

You can select the working hours calendar which corresponds to the Agency. This will be applied to all Worker objects created by default

Address

This address is usually the head office of the Agency, but can be any address that makes sense to you. You can edit this by clicking the Edit button.

The address only requires the Postcode and Country fields to be completed. DRS utilises Postcodes in its scheduler logic. The rest of the address lines can be added if needed.

In order to be saved, the postcode and Country need to be valid and confirmed by clicking the Validate button.

Clicking the Map button will allow you to add and view the address on a map.

Geographical Selected Values

This section defines the Sectors which can be assigned to the Workers. This defines the locations which Workers can complete tasks. To learn more about Sectors, review the Sector article.
